Archives Manager, HSBC – NY

HSBC is seeking Archives Manager to manage activities of both the Corporate Library and the Corporate Archives. 


Impact on the Business
  • ·         Responsible for all supervisory aspects of Library including, but not limited to, the policies and procedures and the physical library space and its collection
  • ·         Is responsible for providing research and assisting employees in getting information required by the business
  • ·         Supervises the acquisition of all materials, including books, periodicals and non-print media. Uses knowledge of patron needs to determine suitable library material acquisitions
  • ·         Supervises the Corporate Library collection to ensure the materials are housed in a logical and accessible manner
  • ·         Cross-trains Library Technical Specialist to ensure continuity of operation during vacation, illness or absence

Customers / Stakeholders
  • ·         Establishes and maintains a network of NA contacts, whose records form part of the Archives Collecting Policy
  • ·         Responds to internal enquiries and external enquiries about the archives and history. Enquiries are received from HSBC staff at all levels across NA; customers and clients; members of the public etc
  • ·         Promotes the use of the archives in internal and customer-facing projects (e.g. publications, exhibitions, educational outreach work, visits, Internet and Intranet pages) to raise the profile of the NA collection; to support internal employee engagement levels; to support the brand of HSBC externally; and to maximize the use of these assets. Liaises with GMO Archives, other regions/functions and external bodies as necessary to achieve this

Leadership & Teamwork
  • ·         Manages the policy and overall strategy of the NA Archives service in consultation with functional reporting line at GMO Archives
  • ·         Manage, mentor and develop the NA Library and Archives team

Operational Effectiveness & Control
  • ·         Ensures the smooth operation of the Corporate Library. Performing all necessary administrative duties to coordinate this objective
  • ·         Conducts or supervises research projects requested by Corporate Patrons using all ethical avenues to obtain the needed information
  • ·         Provides clearinghouse function to disseminate materials and knowledge among patrons
  • ·         Responsible for developing, maintaining and monitoring the budget for the Corporate Library & Archives
  • ·         Provides information to employees, concerning the resources available through the Corporate Library & Archives. Provides instruction to employees concerning the use of research tools
  • ·         Continually strives to enhance Library & Archives operations by keeping abreast of the professional communities and networking with other professionals
  • ·         Makes decisions regarding specialized computer software required for smooth running of the facility and providing access to materials
  • ·         Ensures that all materials, Library and Archives, are catalogued and maintained accurately across for NA
  • ·         Manages the NA Archives’ Collecting Policy – in close collaboration with GMO Archives and Records Management – to ensure archives are kept which document key banking activities, decisions and results
  • ·         Establishes an NA Digital Archives programme to ensure the survival and accessibility of these archives in the future

Major Challenges
  • ·         The role requires vision, creativity and project management skills to establish a new regional service, which will deliver outcomes within an agreed timescale and to tight cost controls
  • ·         The role requires diplomacy and negotiating skills to establish and manage relationships with senior managers across the region
  • ·         The role draws on specialist historical knowledge spanning two centuries of HSBC’s history in NA; it also requires constant learning and research, and continually calls upon professional archive training
  • ·         The role requires more than a comfort level with technology. Simply using computers is not enough. Technology challenges include changes to Library Automation Software, early implementation of Digital Archives, as well as patron training within current technology

Role Context
  • ·         The role receives general guidance from the direct reporting line manager and professional guidance from a functional reporting line to the GMO Head of Archives
  • ·         Operates Corporate Library with a direct reporting line manager and makes decisions based on professional judgement
  • ·         However, the for both activities the specialist nature of the role means that jobholder is often working independently and with a high degree of authority, as the Archives and Library Manager for the region

Management of Risk
  • ·         Ensure compliance, operational risk controls in accordance with HSBC or regulatory standards and policies; and optimize relations with regulators by addressing any issues
  • ·         Promote an environment that supports diversity and reflects the HSBC brand
  • ·         The role requires utmost discretion in dealing with confidential matters as the role holder will regularly have access and exposure to sensitive information, particularly through research requests and archives deposited by senior management levels of the organization (e.g. Group Chairman’s Office, Group Company Secretary’s Office)

Observation of Internal Controls
  • ·         Maintains HSBC internal control standards, including timely implementation of internal and external audit points together with any issues raised by external regulators
  • ·         [Complete appropriate internal control standards and relevant compliance policy)
  • ·         A Master’s degree in Library Science from an American Library Association accredited school. Also graduate level education in Archives and/or Records Management
  • ·         The jobholder will possess three to five years business library and/or corporate archives experience
  • ·         Extremely good communication and people management skills with the ability to influence at all levels in the organization
  • ·         Should have knowledge of cataloging and online database searching (Lexis/Nexis, Factiva, Thomson One Analytics, Dun & Bradstreet, etc.)
  • ·         Supervisory skills required
  • ·         Demonstrate the ability to work on a strategic level, taking a group wide view of responsibilities

Qualifications
A Master’s degree in Library Science from an American Library Association accredited school. Also graduate level education in Archives and/or Records Management
  • ·         The jobholder will possess three to five years business library and/or corporate archives experience
  • ·         Extremely good communication and people management skills with the ability to influence at all levels in the organization
  • ·         Should have knowledge of cataloging and online database searching (Lexis/Nexis, Factiva, Thomson One Analytics,  Dun       Bradstreet, etc.)
